Position reports to Director of Event Services
Annual Compensation: $60,000 – $70,000 per year based on experience
Location: Remote but must be located in the Portland area to manage on-site events
Classification: Full-time position
Required experience: 2+ years of professional meeting planning experience

This position ensures assigned event programs are planned, managed, and executed efficiently and effectively based on agency’s standards and financial goals.
JOB RESPONSIBILITIES

Support director of event services planning and managing assigned programs.
Manage meeting and event logistics related to internal team and client communications, vendor and venue partnership, execution of logistics, and on-site staffing.
Provide unparalleled levels of customer service on all programs.
Self-directed problemsolver that is highly resourceful and detailed oriented.
The scope of this position is dependent upon assigned accounts and programs, and will vary from client-to-client and program-to-program.
Types of events: conferences, board meetings, special themed events, senior leadership meetings, and destination management services (ground transportation, excursions, and off-property events).
Events coorinator will be required to perform other duties as assigned by leadership.

REQUIRED SKILL SET
Please carefully review required skills for the position of Events Coordinator.

Event Websites and Registration: (Cvent, Aventri, Whova, Wix system) Ability to develop and manage event websites and registration; requires strong copy writing and editing skills, knowledge of report creation for rooming lists, manifests, badges, other miscellaneous data
2+ Years Meeting Planning Experience: Both agency and corporate experience preferred
Proficient with MS Word, MS Excel, MS PowerPoint
Event Design: Must be skilled in event design – creative theme development, design and decor, to-scale floor plan creation
Project Management: Strong project management skills – project initiation, planning, execution, control, and reconciliation – organized and efficient, able to adhere to operational processes, ability to manage concurrent projects
Event Logistics: Requires direct or third-party vendor management experience for planning and execution of – but not limited to – catering, space planning, entertainment, audio visual, production, air travel, registration, creative design services, printing, transportation, event decor and rental, venue sourcing, promotional items
Budget and Expense Management: Competent budget development, management, reporting, and reconciliation; proven responsibility managing within budget
Customer Service/Account Management: Exceptional ability to provide consistent excellence in customer service, and sustain cooperative, professional, and positive communications, decisions, and actions both internally and externally
Industry Knowledge and Growth: Current on industry trends, interest and willingness to continue to network, ongoing participation in educational workshops or classes

PREFERRED QUALIFICATIONS & DESIRED COMPETENCIES

Post-secondary education, 2+ years of full-time planner experience and/or Certified Meeting Planning (CMP)
Strong registration skills
Excellent written and verbal communication skills
Strong problem solving and decision-making skills
High energy, positive, professional, pride in work
Poised and professional under pressure
Comfortable working in a fast-paced and entrepreneurial environment
Ability to take initiative and successfully lead others

ELIGIBILITY REQUIREMENTS

Willingness to travel up to 20%
Remote position and on-site support in Portland, Oregon
Willingness to periodically work evenings and weekends
Willingness to submit a background screening and drug test
